Time Book (“the App”) is a personal logbook and recordkeeping tool for railroad professionals. We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains what data we collect, how we use it, and your rights regarding your information.

1. Information We Collect

1.1 Information You Provide

  • Account Information (optional): Email address, display name, phone number (optional), railroad, home terminal, craft/role.
  • Trip & Work Data: On/Off duty times, miles, train symbols, crew info, delays, deadhead, layoff entries, pay entries, attachments, and notes.
  • Crew Contacts (optional): Contacts you create inside the App (e.g., crew member name, phone number, email, notes). These are not your device’s full system contacts list unless you choose to import contacts.
  • Global Directory Profile (optional): If you opt in to the Global Directory, your profile information may be shared with other users of the App. This may include your name, railroad, home terminal, and—if you provide them—your phone number and email address.
  • Attachments: If you upload files (photos, pay stubs, receipts), they are stored privately in your account.

1.2 Automatically Collected Information

  • Device Information: Device model, OS version, app version (diagnostics only).
  • Crash & Performance Data: Provided through Apple and/or Firebase Crashlytics if enabled.
  • Location (Optional): Used only to display local weather via Apple WeatherKit. We do not store or track your location.

1.3 Cookies or Tracking

We do not use cookies, analytics trackers, advertising IDs, or any third-party tracking inside the App.

2. How We Use Your Information

Your information is used only for core functionality and user-requested features:

  • Providing core app features (trip tracking, summaries, pay logs, calendar)
  • Secure data sync across devices (when signed in and Cloud Sync is enabled)
  • Displaying local weather (optional permission)
  • Supporting optional features such as:
    • Global Directory (opt-in): If enabled, your profile information (including your name, railroad, home terminal, and—if you choose to provide them—your phone number and email address) will be visible to other users in the Global Directory. Participation is optional and can be turned off at any time in Settings.
    • Crew Contacts sync (optional): If enabled, crew contacts you create in the App may be uploaded to your private cloud account so they can sync across your devices.
    • Contacts auto-fill
    • Union Hub alerts (future)
  • Crash diagnostics and improving stability

3. Data Storage & Security

3.1 Local Storage

Most Time Book data is stored locally on your device.

3.2 Cloud Synchronization (Optional)

If you sign in and enable Cloud Sync, your data syncs via Google Firebase, including:

  • Firebase Authentication (account login)
  • Firebase Firestore (trip data, profile data, and optional features)
  • Firebase Storage (attachments)

All synced data is encrypted in transit and at rest. We do not sell your data.

4. Sharing of Information

We do not sell or rent your personal data.

4.1 Service Providers

We use third-party services (Firebase, Apple WeatherKit) strictly to operate the App.

4.2 Global Directory (Opt-In Sharing)

If you opt in to the Global Directory, certain profile information will be shared with other users of the App. This may include your name, railroad, home terminal, and—if you choose to provide them—your phone number and email address. You can disable Global Directory sharing at any time in Settings.

4.3 Legal Requirements

We may disclose information only if required by law (court order, government request).

5. Data Retention & Deletion

5.1 Local Data

You may delete entries or remove the app at any time.

5.2 Cloud Data

If signed in, you may delete individual items or request full account deletion:

Account deletion removes:

  • Profile information
  • Firestore trip data
  • Uploaded attachments
  • Associated metadata

We do not retain deleted data beyond standard Firebase operations.

6. Your Rights

You may have the right to:

  • Access your stored information
  • Request corrections
  • Request deletion
  • Withdraw consent for optional features
  • Export your trip data

We respond to requests within 30 days.

7. Children's Privacy

Time Book is intended for adult railroad professionals. We do not knowingly collect information from children under 13.

8. Third-Party Services Used

  • Firebase Authentication
  • Firebase Firestore
  • Firebase Storage
  • Apple WeatherKit
  • Apple Push Notification Service (APNS)
  • iCloud (device backup only)

These services maintain their own privacy policies.

9. International Data Transfers

Your data may be processed in the United States or other jurisdictions. By using the App, you consent to such transfers.

10. Changes to This Privacy Policy

We may update this Policy from time to time. The latest version will always be posted in the App and on our website.
